Privacy Policy
What we collect when you use this site or work with us, why, and what you can ask us to do with it.

This policy covers stellersmedia.com and the work Stellers Media Agency LLC (“Stellers Media”, “we”) does for clients. We’re a small business in Olympia, Washington. Questions go to contact@stellersmedia.com.
The short version
- We collect what you send us through our forms, and what we need to do the work you hire us for.
- We use it to answer you, do the work and get paid. We don’t sell it, rent it or trade it.
- The free tools on this site run in your browser. What you type there stays on your device unless you send it to us with a request.
- Ask us any time to see, correct or delete what we hold about you.
What we collect
What you send us. When you fill in a form (a question, a Snapshot request, a brief or an order) we receive what you enter: usually your name, business name, email, phone number, town, website and your answers about the business.
Payments. Card payments are handled by Stripe. We see that a payment was made, its amount and the name and email on it. We never see or store your full card number.
Client work. When you hire us, we work inside your accounts (Google Business Profile, website, social and others) as a manager or partner you add. Account ownership stays with you. If a login has to be shared, it’s kept in a password manager, used only for your work, and removed when the work ends.
Site usage. Our hosting keeps standard server logs (IP address, browser, pages requested) for security and to keep the site running. If we turn on website analytics, it measures visits and actions on the site in aggregate. This policy will list the tool when it’s live.
Your browser. The forms save your progress and the free tools save your numbers on your own device (local storage), so you don’t lose them if you leave and come back. That data isn’t sent to us unless you submit it. Clearing your browser data removes it.
How we use it
- To answer your question, prepare your Snapshot, quote your work and schedule calls.
- To do the work you hired us for, and report on it.
- To send receipts, invoices and messages about your work.
- To keep the site secure and working.
- To keep the records the law requires (tax and accounting).
We don’t add you to a mailing list because you used a form. If we ever send a newsletter, you’ll have to ask for it, and every send will have a way out.
Who else sees it
Only the services we use to run the business, and only for that purpose:
- Our website host (WordPress hosting), where form entries are stored.
- Microsoft 365, our email.
- Stripe, for payments.
- Shipping carriers, with your name and address, when we ship your products back.
- Specialists we bring in for your project, given only what they need for it and bound to keep it confidential.
We’ll also share information if the law requires it. If the business is ever sold, client records would go to the new owner under this same policy.
Your customers’ information
On sites we build or host for you, your customers’ form entries and bookings belong to you. We handle them only to run the site and the services you hired us for, and never use them for anything of our own.
How long we keep it
Inquiries we don’t turn into work are deleted within two years. Client records and invoices are kept for seven years, the time tax rules ask for. Ask us to delete something sooner and we will, unless we have to keep it by law.
Your choices
Email contact@stellersmedia.com to ask what we hold about you, to correct it, to delete it, or to take a copy with you. We answer within 30 days. We don’t charge for this.
Security
The site runs over HTTPS, accounts are protected with strong passwords and two-factor sign-in where the platform offers it, and access is limited to the people doing your work. No system is perfect; if something of yours is ever exposed, we’ll tell you promptly and what we’re doing about it.
Children
This site and our services are for businesses. We don’t knowingly collect information from anyone under 13.
Changes
If this policy changes, the new version goes on this page with a new date. Changes that matter to how we use your information, we’ll also tell clients directly.
