Copying between apps shouldn’t be anyone’s job
Most owners already pay for the right tools. The form, the calendar, the CRM, the invoicing app and the texting tool just don't share anything, so someone copies inquiries by hand, chases the paid invoice with a thank-you, and forgets the review ask. A property manager retyping inquiries and a caterer chasing deposits have the same problem.
The fix is usually smaller than people expect. Many apps already connect to each other through built-in integrations nobody switched on. Where they don't, Zapier fills the gap. We start with what's built in, add Zapier only where it's needed, and test every path end to end, including what happens when a field comes through blank. We set these up for owners around Olympia and Lacey, starting with the apps you already pay for.
What we do
- Find the handoffs where your team retypes or forgets something
- Switch on built-in integrations in apps you already pay for
- Build Zapier workflows where no built-in connection exists
- Website form to your CRM, with a text alert to your phone
- Booking to your calendar, with a confirmation to the customer: email straight away, text once carrier registration clears
- Invoice paid to a thank-you email and a review ask
- Test every path end to end, including blank and duplicate entries
- Name each step clearly so you know what runs where
Options
- One workflow · Half day · $395One handoff your team does by hand, automated and tested end to end: a web form into your CRM with a text to your phone, a booking into your calendar with a confirmation, or a paid invoice into a thank-you and a review askThe built-in connections in apps you already pay for first; Zapier only where none existsEvery step named plainly, so you can see what runs where
- How it starts
- Pay by link, then a 20-minute call: where work gets copied by hand or dropped
- Your part
- The call and the logins. We build it on accounts in your name and break it on purpose with blanks and duplicates before handover
- Not in it
- App subscriptions (yours: multi-step workflows need a paid Zapier plan, so we use the connections your apps already have first and tell you before Zapier is needed), chains of several workflows (quoted flat before we start). Texts to customers need a texting tool and carrier registration, which takes a few weeks; we file it on day one and switch texts on once it clears
- Guarantee
- If the workflow breaks within 14 days, we fix it free
- Ongoing
- Covered, running Chosen, $395/mo: calls, forms, quotes, checkout or booking tested end to end every month, with a note on anything that broke, plus one improvement a month and 2 emails a month to past customers

- Follow-upTask set so nobody forgets
What happens after you buy.
Have these handy
- A list of the apps you use: forms, calendar, CRM, invoicing, texting
- Admin logins for each app the workflow touches
- Your Zapier account, or we set one up in your name
- One real example of the handoff you want automated
- Pick the workflow
Pay by link, then a 20-minute call: where work gets copied by hand or dropped. A half day builds one workflow. Chains of several workflows are quoted flat before we start.
- Check what's built in
We look at the apps you already pay for and their native integrations before reaching for Zapier, so you aren't paying twice for a connection you already have.
- Build it
We build the workflow on accounts in your name, with clear step names and filters so it only fires when it should.
- Break it on purpose
We test end to end with realistic entries, blanks and duplicates, and confirm each step lands in the right app.
- Handover
It's live within 7 days of access, with the logins in your name and a short note on what runs where. We watch it for 14 days, and if it breaks in that time, we fix it free. Covered, running Chosen, $395/mo, tests every way people reach you end to end every month after that, with a note on anything that broke.
Questions owners ask.
What is Zapier and do I need it?
Zapier connects apps that don't connect on their own: when something happens in one, it does something in another. You may not need it. Many apps already integrate directly, like Square with QuickBooks or Calendly with Google Calendar. We check the built-in options first and use Zapier only for the gaps. If you do use it, the account is in your name.
How do I connect my website form to my CRM?
Most form tools and CRMs connect directly or through Zapier. The steps: set the trigger (a new form entry), map each field to the right CRM field, tag the contact by the service they asked about, and send yourself an alert. The part people skip is testing with blank and odd entries. We build it and test until every entry lands cleanly.
What can I automate in a small business?
Anything that happens the same way every time. A new inquiry into your CRM. A booking onto your calendar with a confirmation text. A paid invoice triggering a thank-you and a review ask. An event inquiry copied to a shared sheet for your team. The first one usually fits a half day; bigger chains are quoted.
What happens if an automation breaks?
Zapier and most apps email the account owner when a step fails, and we make sure those alerts reach you. Workflows usually break when someone renames a field, changes a form or lets an app login lapse. We name every step clearly so the cause is easy to find. If it breaks within 14 days, we fix it free. After that, Covered, running Chosen, $395/mo, tests every way people reach you every month and makes one improvement a month.
